This article explains how automation robots are created and used.

Automation robots allow tasks that you would normally perform manually to be completed automatically according to rules you define. For example, commands like “perform these actions for people who match the specified filters on the 3rd day of every month” are executed 24/7.

By using automation robots, you can automate many routine tasks.

Usage Examples:

  • Send a personalized birthday email to people whose birthday is today.

  • Tag people who don’t have a recurring donation instruction but have donated at least 4 times totaling over 500 TL as potential recurring donors, and send them an email explaining the recurring donation program.

  • Send a list of people who match your defined scenarios in the last month as an Excel file to the designated system administrator on the 1st day of each month.

  • Charge membership fees to people who filled out the membership registration form each month.

  • Send a special thank-you SMS to people who reach 12 successful recurring donations.

You can create countless automation rules tailored to the needs of your organization.


How to Create an Automation Robot

Automation robots consist of three sections: Target Audience, Task, and Scheduling.

Target Audience

In this section, you define the people and organizations that the task will apply to using filters. Filters can be combined in many ways using AND/OR logic, just like in the Users & Companies list. The number of people/organizations matching the rule shows the current count at that moment. This number is not critical because each time the automation runs, it will re-check the filters, and the number may vary.

Task Details

Here you select the type of task and its details.

Scheduling

This section allows you to set how often the automation runs. Scheduling options vary depending on the task type.

  • If a person matches the rule, the relevant checks run every 15 minutes. When a match is found, the task is executed.

  • You can also set tasks to run only during specific periods, such as every Monday, on the 18th of each month, or on November 10 at 09:00.

  • Tasks can be limited to run once per person, or once within a specified time period. For example, if the task is sending an email about your recurring donation program, it can be limited to run once per month.

Example:

Tag people who don’t have a recurring donation instruction but have donated at least 4 times totaling over 500 TL as potential recurring donors, and send them an email explaining the recurring donation program.

Even if a person meets these criteria every day, they will receive the email only once per month, not every day.
